Information collected
We collect the sign-in identifier supplied by the authentication provider, personal and business contact details, registered and business addresses, EIN, business profile link if supplied, account and location settings, submitted contacts and reviews, consented survey responses, terms acceptance records, and billing status. The EIN is encrypted in storage, masked in ordinary views, and available to the app owner for business verification through a logged access action. We do not request a Social Security number.
Why it is used
We use this information to evaluate business applications, maintain accounts, associate permitted records, process subscription status, prevent misuse, handle support and accuracy concerns, and maintain evidence of accepted agreements. Member-submitted data is used for the matching and review features described in the Terms. A signup form alone does not verify business identity.
Member-requested support access
Members can grant the app owner temporary permission to view their workspace or correct contact records and statuses. Members choose the duration and can revoke permission. Support sessions keep the owner’s identity, expire within one hour, and do not permit submitting reviews, accepting terms, changing login credentials, or making payments as the member. Access and changes are logged. Before-and-after correction values are encrypted for accountability; members can see support activity in their account.
Activity monitoring
To investigate possible misuse, we record meaningful changes to member-submitted identifying fields, when and how records were saved, and whether a qualifying match was returned. Monitoring uses protected comparison tokens scoped to each member and review category; its event log does not copy raw identifying values. The app owner can review activity flags and pause matching access. Flags are not findings of wrongdoing. Processed event history is removed after 30 days on the next activity scan for that member; evidence summaries and owner decisions are kept as reasonably needed to investigate concerns. Business verification
When enabled, Middesk receives your business name, EIN, business location, business contact information, and applicant name to check business records and corroborate contact details. Resend delivers requested email verification codes; Twilio Verify delivers and checks requested phone codes. These providers process the information needed for their tasks. Verification rules may approve an application automatically; inconclusive results remain pending or go to the app owner. You can correct an application or request owner review. A code confirms control of a contact; business-contact checks separately establish its association with the company.
Supporting documents are private to the applicant and app owner. Documents expire from access after 90 days; stored files are removed by the configured maintenance job. Do not upload Social Security numbers, payment details, or unrelated customer information. Verification outcomes and owner decisions are retained for accountability. Codes expire after 10 minutes and attempt limits apply.
Who can see it
The app owner can review registration and verification information. Ordinary members cannot view another applicant’s EIN, personal registered address, contact details, or signature record. Authorized service providers process data needed for hosting, authentication, and enabled billing or accounting services. A Google profile link is not fetched or summarized merely because it is entered. If you separately choose to share the listing link, it may appear to members with a qualifying record of your business after verification; it is not added as a contractor review.
Payment and accounting services
When enabled, hosted checkout handles card and bank account information; Quote & Tell stores payment references, amounts, access dates, and accounting-sync status. QuickBooks Online receives company billing details to create a customer profile when registration is submitted. Membership invoices and their linked payments are associated with that profile in the Operator’s accounting company. The app does not send your EIN or personal registered address to QuickBooks for this purpose. No card number, bank account number, or bank login belongs in this app’s registration or review fields. External services have their own notices and authorization screens.
Retention and requests
Records are retained only as reasonably needed to operate the service, maintain valid agreements and billing records, resolve disputes, prevent abuse, or satisfy legal duties and holds. Reviews are not promised perpetual publication. You may request access, correction, withdrawal where applicable, or deletion through the contact above without purchasing a membership. We may verify identity and preserve records where permitted or required by law. Application contact details are not public directory data.
Security and choices
Access controls restrict member records and owner functions. No system guarantees perfect security or matching. Report suspected errors or disclosures promptly. The service uses the sign-in provider’s session mechanisms; do not share credentials. No advertising tracking is added by this signup flow. Providing accurate business information is required to apply; optional listing sharing may be left unchecked. Material changes to this notice will be identified before new uses where required.
